The feature-rich Vision Software Patient Room Service software suite addresses all of the functionality required to fully automate the room service delivery process… from interfaces to the hospital’s ADT and Order Entry systems, to call center management, to the printing of tray tickets in the kitchen assembly areas and tray tracking. Call center personnel enter patient selections using a mouse or using touch screen technology and use the system to ensure that the patient’s diet and all individual restrictions are addressed during the ordering process. Vision Room Service software fully integrates with all of the associated Vision Software clinical and food production tools, including Tray Tracking software.
The Vision Software Patient Room Service system operates in conjunction with all other Vision Software menu selection methods:
- Printed selective menus or non/pre-select menus
- Interactive voice response or “spoken menus”
- Mobile technologies, such as tablets, that let you support room service in real time.
You have the flexibility to serve patients from a variety of menu styles simultaneously to address individual needs and ensure that every patient is fed. You can switch individual patients between a “room service” menu style and any other type of tray service based on your policies and procedures.
You can print tray assembly tickets to multiple kitchen work areas, print them immediately after the patient’s order is placed, or schedule them to be printed in the future. During peak delivery periods, tray assembly tickets can be grouped by nursing station and printed in logical sequence, improving the efficiency of the tray delivery process.
Patients may also order guest trays at any time. Guest tray selections can be from the patient menu or from a Guest Menu. A pre-determined amount per tray can be charged to the patient and maintained in the record. Charges can be reported at any time.
The call center personnel are alerted — in real time — to a variety of individual patient needs, including meal exchange patterns, allergies, dislikes, and food items that conflict with prescribed medications.
Call center personnel can input “write-ins” that adhere to the patient’s diet and individual restrictions. With a mouse click or a touch, call center personnel may change portion sizes or portion quantities… or they can immediately review the ingredients in a recipe.

With the Vision Software Tray Tracking System and your own mobile hardware, you can track the tray from the time the order is made and the ticket is printed, to the time it leaves the kitchen, when the food reaches the patient, and when it goes back to the kitchen for cleanup. Additionally, service personnel can electronically verify the order by scanning the patient ID bracelet to match the tray ticket.
This system dashboard provides an easy-to-read, comprehensive display of patient status and service activity—including location of the tray, ETA for delivery, time delays, and alerts. Tray Tracker Lite is another mobile tray tracking solution that can make use of your tablet. Tray assembly teams can verify trays on the cart, and meal delivery staff can input delivery details as they pass meal trays. You can upload the information into Vision Software for reporting and review.

Many of the menu management tools draw on data provided in real time through healthcare information system (HL7) interfaces. The interfaces feed information into the dietary information system, eliminating tedious keyboard entry—and keeping your clinical staff productive. These applications also use information maintained in the dietary cardex (patient nutritional care record) through Vision’s Clinical Nutrition Software applications.
Patient Menu Management software allows you to offer choices and collect selections through a variety of systems, including mobile tablet solutions.
