With ever-changing patient orders, the time between ordering meals and delivering trays often presents challenges in preparing trays, updating meal selections, and/or stopping meal service all together. The time between orders and delivery varies with the type of meal service. Traditional meal selection is often a day in advance, or sometimes weekly with extended care facilities. With room service operations, even a 45–60-minute turnaround has the potential for order changes.
Food waste costs contribute greatly to preparing trays for discharged patients, or for returned trays due to significant changes in diet orders. Efforts to minimize the impact of wasted trays is a primary focus for food service operations.
The VST Suite™ software addresses diet/order change management in several ways, from meal selection through tray delivery. “Exceptions” are used to identify and alert the user when a patient’s order change impacts selections and delivery. Several features assist staff in identifying and resolving Exceptions, increasing selection accuracy and reducing tray waste:
- Dashboard views: Meals Your Way (MYW) and Trays Your Way (TYW) dashboard present a visual queue (red highlight) to alert staff that there is an order change impacting selections. The highlight remains active until selections are resolved.
- Delivery Alerts: Staff are alerted if a patient order change occurs during tray assembly, cart loading, and tray delivery processes. These alerts indicate if there is a change to the diet or allergen, requiring review and/or a new tray. In addition, staff is alerted if the patient is discharged or transferred, or if the tray should be held due to an NPO order.
